CloseFlow

Questions about CloseFlow

The CRM for solo Ontario agents that tells you who to call next. Prices are in CAD, plus HST.

How much does CloseFlow cost?

Three plans, priced in Canadian dollars before tax: Starter is 49 CAD a month, Professional is 99 CAD a month and Scale is 179 CAD a month, plus HST. With 13% Ontario HST, Professional comes to 111.87 CAD a month.

Do I need a credit card to start?

No. You only pay if you add a card. The 14-day trial starts without one. If you do nothing, your account pauses. We never charge a card you did not enter.

Who is CloseFlow for?

Solo real estate agents in Ontario who want one place for their pipeline, follow-ups and client messages, and a clear answer to who to call next.

Does CloseFlow send messages without me?

No. CloseFlow drafts follow-ups and tracks your pipeline. You approve every message before it goes out.

Is it like MailChimp?

No. MailChimp is built for bulk newsletters. CloseFlow is built for one-to-one follow-up with the people in your pipeline, with each conversation kept on the lead's record.

Do I get my own phone number?

No. Texts and calls use a shared CloseFlow number. There is no dedicated number per agent.

Are MLS or CREA listings included?

No. MLS and CREA listing data are not included. CloseFlow has applied to become a CREA Technology Provider to display your active listings on your hub page. That feature is pending approval.

What is the difference between the plans?

Starter is the private CRM with no public page. Professional adds a public hub page with lead forms. Scale puts that hub on your own domain.

Can I cancel anytime?

Yes. There is no contract, and you can cancel from your account settings.

How does CloseFlow handle CASL?

CloseFlow records consent and unsubscribe requests for your contacts, adds an unsubscribe link to commercial email, and keeps the consent records so you can show them if asked.

Where is my data stored?

Our primary data residency is in the European Union (Germany), where Hetzner provides our compute, database, photo storage and backups. Some specialised functions are provided by processors in the United States: AI, email, SMS and voice, calendar and address services, payments and identity checks, and error monitoring. Our network edge and a second copy of our backups are on Cloudflare. This means your information may be stored or processed outside Canada. We remain accountable for it under PIPEDA. Our Privacy Policy has the details.

What happens to my data when I delete my account?

The reactivation period is 30 days from the date your account is closed or your subscription ends. When you delete your account, we will delete or irreversibly anonymize your personal information and the personal information of your leads and clients within approximately 30 days after the end of the reactivation period, subject to the following limited exceptions required by law: CASL compliance records. We retain records of consent, unsubscribe requests, and related commercial electronic message logs for a minimum of three (3) years from the date of the relevant event or account deletion. Financial and tax records. Billing and payment-related information is retained for six (6) years in accordance with Canada Revenue Agency requirements. Encrypted backup snapshots. A backup cannot be edited to remove one person without destroying the backup for everyone in it. Snapshots are overwritten on a fixed schedule, and the last snapshot containing a deleted account is overwritten within twelve months. When you ask us to delete your account we email you a download link straight away. It works without a login, for 30 days, and can be used up to five times.
